3 Worx IT & Media Solutions (Pty) Ltd (registration number 2018/631179/07), trading as 3 Worx Solutions, operates 3 Worx Academy from Roodepoort, Gauteng, South Africa. This policy explains how we handle personal information on academy.3worxsolutions.com and in our courses. We are the responsible party under the Protection of Personal Information Act 4 of 2013 (POPIA).
Information we collect
We collect only what we need to give you access to the Academy, run your courses, issue certificates and meet the law.
- Account details: your name, email address, mobile number, password (stored in encrypted form), language and time zone. If you are a 3 Worx intern, also your team and supervisor.
- Learning records: the courses you enrol in, your progress, quiz and assignment results, certificates, and messages or questions you send in a course.
- Payment details (paid plans only, when they launch): invoices, transaction references and the status of your plan. We do not store full card numbers on this website.
- Website details: pages you visit, cookies, browser type, device identifiers, IP address and session information.
How we use it
POPIA section 11 allows us to process personal information on the grounds below.
- Contract: to create and manage your account, give you access to courses, track your progress, mark assessments, issue certificates and give you support.
- Legal obligation: to comply with POPIA, tax law and any other law that applies to us.
- Legitimate interest: to keep the Academy secure, fix problems and improve our training, where your interests do not override ours.
- Consent: where we ask you for it, including marketing emails.
Who can see your learning records
- You.
- Your instructor, and the people at 3 Worx who run and review the course.
- If you are an intern: your supervisor at 3 Worx.
- If a partner organisation gives you access: that organisation's administrator, for your progress and results in the courses it provides.
We do not sell, rent or trade personal information. We share it only where needed, and recipients must keep it confidential. That includes service providers who host our systems, send email or process payments, and regulators or law enforcement when the law requires it.
How we use AI in teaching
Some 3 Worx Academy instructors are AI. Each one has a named person at 3 Worx who is responsible for its content, and our people review all course material before it is published. If you would like to know whether a specific instructor is AI, ask us and we will tell you. You may also ask for a person to review any answer or assessment result. When you interact with an AI instructor, your questions and course activity may be processed to give you a response and to improve our training. We process this personal information in line with the Protection of Personal Information Act, 2013 (POPIA): we only collect what we need, we keep it secure and we do not sell it. Children and learners under 18
The Academy is designed for adults. Some training, such as food operations for school shops, may involve a school setting. We process a child's personal information only with the consent of a parent or guardian, as POPIA sections 34 and 35 require. Learners under 18 do not get a public profile, and we do not send them marketing. If you believe we hold a child's information without consent, contact us and we will deal with it promptly.
Certificates and verification
A certificate shows your name, the course title, the completion date and a certificate code. Anyone with the code can check that the certificate is genuine on our certificate validation page. If anything on your certificate is wrong, contact us and we will correct it.
Cookies and analytics
This website uses cookies for your login session, for preferences you set, and for statistics about how the site is used. You can block cookies in your browser. If you block cookies the site needs to work, you may not be able to log in or take courses.
Marketing and communications
We send service messages about your account and courses. Under POPIA section 69 and the Electronic Communications and Transactions Act, we send marketing emails, such as news about new courses, only if you have opted in. Every marketing message includes a way to opt out, and you can opt out at any time.
Information stored outside South Africa
Some cloud hosting or software providers may store personal information outside South Africa. Under POPIA section 72, we do that only where the recipient is subject to adequate protection, or where you consent.
Security
We protect personal information with measures appropriate to the service, including encryption in transit, limited access and monitoring. No method of storage is perfectly secure. If your personal information is compromised, we will notify you and the Information Regulator, as POPIA section 22 requires.
How long we keep it
We keep your account and learning records while your account is active, and for as long as needed afterwards to verify certificates, meet a legal or tax requirement or handle a dispute. We then delete, destroy or de-identify the information. Billing records are kept for as long as tax law requires, generally five years.
Your rights
You may ask us for access to the personal information we hold about you, and ask us to correct or delete it. Where we rely on legitimate interest, you may object. You may withdraw consent and opt out of marketing at any time. You can also ask for access to a record under the Promotion of Access to Information Act (PAIA).

Changes to this policy
If we make a material change to this policy, we will give at least 30 days' notice by email or on this website. A minor change, or a change made to comply with the law, may apply when we post it. The date at the top of this page is the current effective date.
